01 Getting started

Getting started with Simpalm Staffing

What we do, how hiring works, and how fast you can have someone on your team.

What does Simpalm Staffing do?

Simpalm Staffing is a remote staffing agency that places vetted professionals from Latin America and India with U.S. businesses. We source, screen, and place virtual assistants, specialized VAs, bookkeepers, CPA-certified accountants, tax preparers, and virtual paralegals, then handle payroll, local compliance, and ongoing support for the life of the placement.

Is Simpalm Staffing a U.S. company?

Yes. Simpalm Staffing is headquartered in Rockville, Maryland, with a Chicago office on Michigan Avenue, and serves more than 200 U.S. clients. Our professionals work remotely from Latin America and India, and you work with a U.S. team for hiring, billing, and support. Meet the team.

How does the hiring process work?

Hiring with Simpalm Staffing takes four steps and about two weeks from first call to first day:

  1. Day 1 We listen first. A discovery call about your workload, tools, and hours.
  2. Within days We recommend and vet. Candidates pass Ducknowl screening and an interview with a practice lead.
  3. Your call You decide. You interview a shortlist of 2 to 3 candidates and choose.
  4. About day 14 They start, and we stay. Guided onboarding, then 30-day and 90-day check-ins.

How quickly can my virtual assistant start?

Most placements take about two weeks from our first conversation to your hire's first day. After the discovery call we usually present 2 to 3 vetted candidates within days. Specialists who already know your tools, such as bookkeepers and paralegals, typically start adding value within their first days on the job.

What happens on the discovery call?

On the discovery call, we walk through your current workload, the tools you use, your hours, and the outcomes you need, then recommend the right profile: a general virtual assistant, a specialized VA, or a finance or legal specialist. The call is free, and there are no upfront fees if you decide to move forward. Book a free discovery call.

Should I hire a general or a specialized virtual assistant?

Hire a general VA for broad admin support such as calendars, inbox, data entry, and research. Hire a specialized VA when the role depends on specific tools, accuracy, or performance tracking, for example QuickBooks, HubSpot, Canva, Clio, or Salesforce. Not sure? We decide it together on the discovery call, based on your workload, tools, and goals.

Why hire through Simpalm Staffing instead of a freelance platform?

A freelance platform gives you a marketplace; Simpalm Staffing gives you a vetted hire and a long-term partner. Every candidate is screened with Ducknowl and interviewed by a practice lead, we handle payroll and local compliance, and we stay involved with structured onboarding and check-ins. If the fit is wrong in the first 30 days, our fit guarantee covers you.

02 Talent and hours

Talent, regions, and working hours

Where our professionals are, when they work, and which region fits your role.

Where are your professionals located?

Simpalm Staffing professionals are based in Latin America and India. Our Latin American talent comes from Mexico, Colombia, Brazil, Argentina, Peru, Chile, and other countries across the region. Our India bench adds depth in finance, accounting, and tax, including CPA-certified professionals and IRS Enrolled Agents, plus technology talent. Explore Latin American talent.

Will my virtual assistant work during U.S. business hours?

Yes. Professionals in Latin America are 0 to 3 hours from U.S. Eastern time, so they work your 9 to 5 in their own daytime; depending on the country, they cover Eastern, Central, or Pacific schedules. Our India bench works night shifts in India, so they are online during your U.S. business day. For technology projects, India teams can also work overnight, so work is ready by morning.

A 9 AM to 5 PM day in New York lands in the daytime across Latin America and in the night shift our India bench works.

Latin America or India: which region is right for my role?

Choose Latin America for real-time collaboration, client-facing, office, legal, sales, and marketing roles, and for native Spanish or Portuguese. Choose India for deep finance, accounting, tax, and technology work. When your work needs some of both, we can recommend a blend of both regions. The region matcher on our homepage suggests a fit in a few clicks.

How strong is your professionals' English?

Every candidate speaks fluent English for U.S. business communication. We screen spoken and written English before you meet anyone, along with professionalism and cultural fit with U.S. teams. Most Latin American professionals are also bilingual in Spanish, and Brazil-based specialists speak Portuguese.

What roles can Simpalm Staffing fill?

Simpalm Staffing fills administrative, specialized, finance, tax, and legal roles:

03 Screening and guarantee

Screening and the 30-day fit guarantee

How candidates are vetted before you meet them, and what happens if a hire is not the right fit.

How do you screen candidates?

Simpalm Staffing screens every candidate in two layers. First, Ducknowl, the AI hiring platform from the team behind Simpalm Staffing, runs skill tests, video interviews, and psychometric scoring. Then a practice lead takes over: our accounting lead interviews every bookkeeper one-on-one, our in-house legal counsel interviews every paralegal, and a technical lead reviews technology candidates' work by hand. Only candidates who pass both layers reach your shortlist.

Two screening layers stand between every applicant and your shortlist.

What is the 30-day fit guarantee?

Every Simpalm Staffing placement comes with a 30-day fit guarantee. If the person is not the right fit within the first 30 days, for any reason, you do not pay for the miss, and we replace them at no additional cost. See pricing.

30-day fit guarantee

Not the right fit in the first 30 days?

  • You do not pay for the miss.
  • We replace the hire at no additional cost.

What if my virtual assistant underdelivers or does not show up?

Tell us and we act fast. We monitor every placement and address performance issues directly. Within the first 30 days, the fit guarantee applies: you do not pay for the miss, and we find a replacement at no additional cost. After that, we stay involved with check-ins for the life of the placement.

04 Pricing and billing

Pricing, billing, and contracts

What a placement costs, how invoicing works, and what you never pay for.

How much does a virtual assistant cost?

Most full-time roles from Latin America, such as virtual assistants and bookkeepers, cost 2,200 to 3,000 USD per month for 40 hours a week. CPA-certified professionals from Latin America and India run 5,000 to 6,000 USD per month full-time. That is one monthly rate, with no upfront fees, no interview fees, and no long-term contract. Part-time and fractional options are also available. See pricing.

How much can I save compared with a U.S. hire?

Clients typically save 60 to 70% with Latin American talent and 75 to 85% with our India bench, compared with a similar U.S.-based hire. Your exact savings depend on the role, seniority, and hours, and there is no fee on top of the monthly rate.

Typical cost compared with a similar U.S. hire

Latin America: typically 60 to 70% less than a similar U.S.-based hire.

Are there upfront fees or long-term contracts?

No. There are no upfront fees, no interview fees, and no binding long-term contracts. You are never billed in advance: you are invoiced after the work is done, so a month worked in June is invoiced in July.

Who handles payroll and compliance?

Simpalm Staffing does. You pay one monthly invoice, and we pay your professional directly, on time, every cycle. We manage compensation, local compliance, and payments, so there are no local employment contracts and no compliance setup on your end.

Do I pay when my virtual assistant is on vacation or misses time?

No. You are not billed for idle time. Vacation, sick leave, and missed days show up as a deduction on your invoice, and you never manage leave paperwork. We agree on a work plan and time-off schedule up front, so you always know when your assistant is away, and we coordinate backup coverage if needed.

Can I hire part-time or change hours later?

Yes. We offer fractional, part-time (about 20 hours a week), and full-time (about 40 hours a week) arrangements, and you can adjust hours as your workload changes. Bookkeeping, for example, can start with a few hours a month for reconciliations and grow into a full-time role.

05 Working together

Working together, tools, and security

Onboarding, the software your professional already knows, and how your data stays protected.

What does onboarding look like?

Onboarding with Simpalm Staffing is simple and structured. You share your priorities, grant tool access, and set communication preferences. Your professional starts executing while we monitor fit and performance, with check-ins at 30 and 90 days and support for as long as they are on your team.

How do you protect my business and client data?

Confidentiality is built into every placement. Each professional signs an NDA before day one and passes a background check, and access is scoped to exactly what the role needs, with permissions set by your team. For an extra layer, we offer a Virtual Desktop option that keeps all work inside a secure, locked-down remote environment.

Will my assistant work only for my business?

Yes. Every remote team member we place in your business works for you, and only you. They follow your schedule, work inside your tools, and report to your team, while Simpalm Staffing handles payroll and support in the background.

What tools do your professionals use?

Simpalm Staffing professionals work in the tools your business already runs on. Common examples: Google Workspace, Microsoft 365, Slack, Asana, HubSpot, Salesforce, and Canva for operations and marketing; QuickBooks, Xero, and NetSuite for bookkeeping; Clio, MyCase, and Filevine for law firms; UltraTax CS, CCH Axcess Tax, Lacerte, and Drake for tax work.

What if my needs change over time?

Simpalm Staffing scales with you. You can add hours, move to a more senior professional, or switch profiles, from a general VA to a specialist or the other way around, without starting the search from scratch.

06 Virtual assistants

General and specialized virtual assistants

From everyday admin to specialists who own a function.

What can a general virtual assistant handle?

A general virtual assistant handles recurring operational work: calendar management, inbox cleanup, CRM updates, travel planning, data entry, internal follow-ups, meeting notes, research, and more, so you can stay focused on the work only you can do. Hire a virtual assistant.

What is the difference between a specialized VA and a general VA?

A general VA helps with a bit of everything: scheduling, inbox, basic admin. A specialized VA owns one function, such as marketing, bookkeeping, logistics, or legal admin, and already knows its tools, workflows, and the outcomes that matter. When results in one function drive your growth, a specialist gets there faster.

What tasks can a specialized VA take over?

A specialized VA takes over the core tasks of one function:

  • Digital marketing: social media scheduling, email campaigns, content repurposing.
  • CRM and sales: pipeline updates, automation, dashboards.
  • SEO and web: audits and performance tracking.
  • Real estate: MLS updates, document prep, client pipeline.
  • Logistics: inventory management and shipment tracking.
  • Hospitality: reservations, guest communications, event planning.

See all specialized roles.

Which industries benefit most from specialized VAs?

Tool-heavy and compliance-heavy fields benefit most: real estate, logistics and manufacturing, healthcare front office (HIPAA-trained), hospitality, digital and growth, legal, accounting, and technology. Any growing business with repeatable, function-specific work benefits from a specialist who starts without a steep learning curve.

07 Bookkeeping and finance

Virtual bookkeepers, accountants, and tax support

Clean books, CPA-certified talent, and tax season capacity.

What does a virtual bookkeeper do?

A virtual bookkeeper keeps your books accurate and current: invoicing and accounts receivable, accounts payable, expense categorization, bank and credit card reconciliations, and monthly reporting such as the P&L, cash flow summaries, and the balance sheet. Hire a virtual bookkeeper.

How is a virtual bookkeeper different from an accountant or CPA?

A bookkeeper records and maintains your financial data; an accountant interprets it, advises, and prepares filings. Simpalm Staffing places both: virtual bookkeepers and CPA-certified professionals from Latin America and India. We provide staffing, not tax advice: your firm reviews and signs every return.

Can a virtual bookkeeper help with taxes?

Yes, by keeping your books clean so tax preparation is fast and accurate. For the returns themselves, Simpalm Staffing also places PTIN-holding tax preparers and IRS Enrolled Agents who prepare returns for your firm's review. Explore tax preparer staffing.

Do you staff fractional CFO firms?

Yes. Simpalm Staffing places finance executive assistants, senior accountants, controllers, and FP&A support for fractional CFO firms, including CPA-certified accountants from Latin America and India, so your partners can serve more clients. Explore fractional CFO staffing.

What accounting software do your virtual bookkeepers use?

Our virtual bookkeepers most often work in QuickBooks Online, Xero, and NetSuite, along with FreshBooks, Wave, and Zoho Books, plus Google Sheets and Excel. Tax specialists work in UltraTax CS, CCH Axcess Tax, Lacerte, ProConnect, and Drake.

Which businesses benefit most from a virtual bookkeeper?

Any organization that generates transactions benefits from a virtual bookkeeper: small businesses, nonprofits, e-commerce stores, service providers, real estate agencies, and solo professionals such as consultants and coaches. Part-time and hourly scopes let smaller businesses start with a few hours a month.
